Chartered Institute of Public Relations – Facilitating Member Joining

The Challenge

The Chartered Institute of Public Relations (CIPR) came to us with a Drupal website that wasn’t fully integrated with their back-office membership database, Integra. This meant that new members were unable to join CIPR through their website and online member payment was impossible. As the existing process was manual, member registration was a difficult, time-consuming task for the internal team, as well as less convenient for new members.

The Solution

The aspiration was simple – integrate the membership organisation’s back-office system with their website, to enable online member joining, including secure payment and recording new member details in an efficient and organised way. However, with added requirements such as a workflow that allowed for manual approval of submissions and a step for data cleansing, the technical work was less simple.

The functionality required was to allow potential members to sign up for membership and pay online via the Sage Pay payment platform. The idea was to provide a seamless registration experience that enabled new members to complete registration and payment without needing to speak with a representative, such that they could register at any time of the day or night (and the admin workload for staff was also reduced). The new member’s application would then be held by the website in a pending state, where it was available to view and be approved by the internal membership team and finally submitted to the back-office membership system ready for confirmation (with all of the record cleansed).

While working on this project, we built a great partnership with CIPR. The project was delivered on time and the completed work included integrating the organisation’s website with their payment platform, designing the information flow to CIPR’s back-office membership system, and integrating it with the website.

The Results

The impact of this project was immediately noticeable, and the amount collected within the ‘breaking in’ period exceeding expectation – with £5,700 generated via online joining in the first few days following the launch.

A large number of new member applications are now received online rather than via the previous manual process, saving the internal team valuable time and enabling new members to sign-up online at a time and place of their choosing.

Since the launch, we have continued working with CIPR, providing ongoing maintenance, management and support as well as launching additional sites for the CIPR’s Excellence Awards and PRide Awards.

We have been very pleased with the work Pedalo have done for us. Their knowledge has proven to be exceptional, not only with our large Drupal website but with the database we integrate the site with as well.  The developers showed a clear understanding of our business and requirements, as well as speaking in English and not in jargon.
